Overview

QuickBookie is a booking platform for service businesses — salons, clinics, studios, consultants, and similar. Each business has one or more profiles that customers can find (unless marked private). Customers choose a location, pick services, and reserve a time slot. Your team works in the Control Panel to confirm visits, manage the catalog, and invite colleagues.

For customers

As a customer, you use the app to find businesses and manage your own appointments. You do not configure someone else’s business from this role.

  • Account: Register with email (password reset available). Some businesses allow Google sign-in when enabled. Email verification is required before you can book.
  • Find a business: Use Select profile to browse public listings (search, country, industry) or businesses you already joined. Private profiles appear only after you accept an invitation. Mark favorites on profile cards.
  • Near me: Turn on Near me to sort the list by distance to each business’s closest location (nearest first). It uses your device location and derives your country automatically; clearing the country filter turns it off. On a business’s locations page, each location in your country also shows how far it is.
  • Book: On a business page, choose location, services, date and time (based on working hours and slot interval), optional preferred staff, and an optional note. Prices show unless the business hides them.
  • My bookings: Active lists upcoming visits; Archive lists past ones. Filter by status or business, search, expand cards for details, edit while pending, or cancel when allowed. Book again from archive when the business supports it.
  • Ratings: After a completed visit you may rate the business from its page.
  • Notifications: In Account, control notifications globally and per business. On mobile, allow push for reminders and status updates (including an optional reminder about 24 hours before a visit).

Create your business

When self-registration is enabled on your QuickBookie deployment, any signed-in user can register a new business from the app menu (New business). Otherwise a platform operator creates profiles for you.

  1. Open New business

    From the main menu, choose New business. You must be logged in with a verified email.

  2. Enter core details

    Provide the business name, industry, country, contact details, languages you will publish in, and preferred currency for prices. Add an optional description customers will see later.

  3. Submit for review (if required)

    Some deployments require staff approval before the profile becomes active. While pending, you may see limited access until the platform approves the business.

  4. Open the Control Panel

    Once you are a profile administrator, open Control Panel for that business. Complete Settings (profile details, hours, publish options) before inviting customers.

  5. Add a location and services

    Create at least one location and link services from your catalog. Turn on Publish profile (and publish the location) when you are ready to accept online bookings.

  6. Invite your team

    Use Team → Invitations to add other administrators, location administrators, or employees. You can register additional businesses later if your account allows multiple profiles.

Control Panel tour

The Control Panel is the back office for a single business profile, navigated from a sidebar on desktop (a bottom tab bar on mobile). Profile administrators see every section; staff see only what their role allows.

  • Dashboard: At-a-glance analytics for a chosen date range — booking counts, status and cancellation breakdowns, bookings by day, and your top services.
  • Bookings: Big Screen (today-focused board), Details (searchable list with CSV export), and Calendar (week view per location). Create walk-in bookings, change statuses, bulk complete/cancel (admins).
  • Locations: Your business locations (branches). Open each one to its workspace — address (with a map pin geocoded from the address or dragged by hand), working hours, services offered, gallery, and booking flags.
  • Services: The service catalog (duration, price, quantity rules, per-language names) and the industries you operate in.
  • Team: Everyone linked to the profile — administrators, staff, and customers — with roles and location assignments, plus invitations for new administrators, location admins, employees, or ownership transfer.
  • Settings: Your business profile, grouped into Business (details, contact, languages), Appearance (logos, gallery), Booking rules (working hours, closures, booking assignment), Description (multilingual, with one-tap machine translation), and Plan (subscription and limits).

Profile settings

Profile administrators open Control Panel → Settings, then pick a group from the Settings menu — Business, Appearance, Booking rules, Description, or Plan. The settings below are organized under those groups.

Details

Core booking behaviour and visibility.

  • Business name and identifiers shown internally and publicly.
  • Booking confirmation: when on, new customer bookings start as pending until staff confirm; when off, they are confirmed immediately.
  • Booking interval: slot step on the booking screen (full hour, 15, 30, or 45 minutes).
  • Publish profile: when off, the business is hidden from the public directory (existing members may still access it).
  • Private profile: invite-only — strangers cannot join or book without an invitation.
  • Publish prices: when off, customers do not see service prices while booking.
  • Login with Google (per profile): offered on the business entry when the deployment allows Google sign-in.
  • VAT and identity number where required for your region.
  • Auto-complete past confirmed: optional job to mark old confirmed visits completed after a grace period (hours).
  • Auto-cancel pending after (hours): optional job to cancel stale pending bookings after the slot; leave empty to disable.

Languages

Select which languages you publish in and set the default language for new content and customer-facing pages.

Contact

Public contact for the business: email, phone numbers, address, city, country, plus optional Instagram and homepage URLs.

Working hours

Weekly open / close times at profile level. Consumer bookings must fit these hours unless staff override when creating a booking in the Control Panel.

Closures

Temporary closed periods (holidays, renovations) that block booking on affected dates even if weekly hours would allow it.

Styling

Upload logos (standard and square) and optional profile card backgrounds for public listings (paid plans may be required for custom backgrounds).

Gallery

Marketing images on the public profile page, subject to your plan image limit.

Booking assignment

Choose whether customers can request a preferred profile administrator, location administrator, or employee when booking.

Description

Multilingual business description shown on your public profile — edit it per language you enabled. Write it in one language, then use Translate to other languages to machine-translate it into the rest, keeping its formatting; refine the result before you save.

Plan

View the active subscription, start a trial when offered, upgrade tier, and see usage against limits (locations, services, notifications, gallery images).

Locations

Each location is a branch customers can book at. Profile administrators manage locations under Control Panel → Locations; open a location to its workspace (details, services, working hours, map, gallery). Location administrators may edit locations assigned to them.

Location details

  • Name shown to customers when they pick a branch.
  • Country, city, and street address for display and directions.
  • Phone and email for customer contact.
  • Map & pin: saving a location that has an address but no pin geocodes the address and drops a pin (the editor stays open so you can drag it to fine-tune); the Reset pin to address button re-derives it. Coordinates power maps links and Near me distances for customers.

Booking flags

  • Publish location: when off, customers cannot select this branch for new bookings.
  • Allow booking: master switch for consumer online booking at this location.
  • Employee booking: when on, employees assigned here can create and manage appointments in the Control Panel.

Working hours

Set location-specific hours or use profile default hours. Consumer slots follow the effective hours for that branch.

Services at this location

Choose which catalog services this branch offers and at what price (when prices differ per location). Customers only see services enabled for the location they select.

Location gallery

Photos for this branch (reception, interior, team), counted against your plan’s gallery limit.

Services & bookings

Your catalog and calendar work together: services define duration and price; bookings attach services to a time slot and customer.

  • Industries: Link the industries that describe your business (limits depend on your plan).
  • Services (accommodations): Name, description (per language), duration, price, optional quantity, tied to industries.
  • Creating bookings (staff): Pick location, customer (registered or walk-in name), services, time, optional employee, and notes. Staff may bypass consumer hour rules when needed.
  • Big Screen: Day-focused board for reception — upcoming visits, new arrivals, needs attention, completed/cancelled sections.
  • Details list: Full searchable table with filters, sorting, export, and bulk status tools for administrators.
  • Calendar: Week view per location to spot free and taken slots; tap to act on existing bookings or start new ones.
  • Needs attention: Filter for past appointments still pending or confirmed — close them by confirming, completing, or cancelling.

Team & invitations

Access is controlled per profile and often per location.

  • Profile administrator: Full Control Panel for the business — settings, catalog, all locations, users, invitations, bookings.
  • Consumer (member): A customer linked to the profile; can book and appear in your user list with optional internal ratings/tags.
  • Location administrator: Manages assigned locations, their users, and bookings — not global profile settings or profile-level invites (unless also an administrator).
  • Employee: Works bookings at locations with employee booking enabled; cannot change catalog or profile-wide settings.
  • Invitations: Send email invites for each role; ownership transfer lets you hand the business to another account safely.
  • User history: Review a customer’s past bookings and notes before accepting a new appointment.

Staff roles (summary)

Staff never replace a profile administrator — they operate inside the permissions you grant.

  • Location administrator: Locations, Users (for their branches), and Bookings for assigned locations.
  • Employee: Bookings only, at enabled locations; may be pre-selected as assignee on new desk bookings; on completed past bookings they can add employee notes but not change status (unless policy allows otherwise).

Booking statuses

Every appointment has a status. Updates sync to the customer app and may trigger push notifications.

  • Pending: Awaiting confirmation (default when booking confirmation is on).
  • Confirmed: Accepted by the business.
  • Cancelled: Will not take place.
  • Completed: Visit closed; unlocks customer ratings and accurate reporting.
  • Past slots: A booking is past after its scheduled end (including service duration). Completed is normally allowed only after the visit end.
  • Auto-close: Optional profile rules to auto-complete old confirmed visits or auto-cancel old pending ones; customers receive the same notifications as manual updates.

Plans & limits

Each profile runs on a plan (free, starter, basic, advanced, enterprise, or custom). Plans cap industries, locations, services, gallery images, and push notification deliveries per device per 24 hours. Higher tiers may unlock profile card backgrounds and larger galleries.

Notifications

Notifications depend on user preferences, device tokens, and plan limits.

  • Customers: Status changes (confirmed, cancelled, completed); optional 24h reminder before the visit.
  • Staff: Counters and pushes for new or upcoming bookings when configured.
  • Auto-close: Automatic status changes send the same customer notifications as manual ones.
  • Respect per-user switches in Account and per-business preferences.
